POSITION SUMMARY:
Under the direction of the Accounts Payable Manager, the Accounts Payable Administrator will perform accounts payable functions of Dedicated Carrier Provider clients using the LAS methods. These functions may include transaction processing, recording, reporting, analysis and forecasting.
ESSENTIAL FUNCTIONS:
- Monitor emails for vendor invoices and statements.
- Obtain W9s, set up new vendors as needed, and issue 1099s annually.
- Ensure invoices are properly approved, classified and entered /uploaded timely.
- Prepare weekly vendor payable reports for multiple clients and companies.
- Ensure payments to vendors are accurate and timely.
- Promptly respond to client and vendor inquiries.
- Research and resolve invoice discrepancies and issues in a professional manner.
- Assist in processing credit card activity.
- Participate in month-end closing.
- Continue to improve the payment process and standard operating procedures.
- Manage multiple clients and deadlines.
- Other duties as assigned.
REQUIRED EXPERIENCE/BACKGROUND/COMPETENCIES
- Associate or bachelor's degree in accounting a plus.
- A minimum of three years of accounts payable processing experience.
- Experience with multiple clients and companies preferred.
- Transportation Industry experience a plus.
- Experience with QuickBooks a plus.
- Ability to work both independently and on a high performing team.
- Proficient in Microsoft Office programs (Word and Excel).
- Excellent verbal and written communication skills.
- Flexibility and comfort working through transitions.
- High degree of accuracy and attention to detail.
- Ability to organize work with large amounts of information efficiently.
- Strict adherence to professional ethics.
GENERAL WORKING CONDITIONS
Office are hours are flexible. Typically, 8:00 a.m. to 5:00 p.m. Ability to work extra hours as determined by the workload and client expectations. Ability to travel if needed.
